Admin Clerk job – Cape Town. Relevant administration experience within the automotive industry is preferred.

The minimum requirements:
Matric/Grade 12 or equivalent qualification
Minimum of 2 years working experience within an administrative role, previous experience within the motor industry would be advantageous
Fully computer literate – especially MS Excel and Email
Previous exposure to Autonmate/SPL will be advantageous
Solid administration skills are required as well as previous exposure to working on a switchboard
Able to communicate effectively in English (write, speak and read)
High attention to detail and focus
Flexible and able to work overtime when required, including weekends
Must be well presented and professional in overall approach

The main duties:
Reconcile daily banking for Parts, Warehouse and Admin department
Complete daily deposit slips and prepare daily banking for Coin Security
Capture and file daily banking
Prepare cheque and EFT payments, load EFT payments and submit for authorisation
Investigate fines and fine statements, prepare fine register, issue payment and update register for auditors
Inform relevant Managers of fines and email/file documentations
Report daily and monthly on credit note reconciliations for Parts and Workshop
Issue vouchers for cleaners, purchase coupons monthly and issue for milk delivery daily
Compile attendance from all departments and update sick leave claims
Filing and query resolution
Switchboard relief

PA/ Office Manager

An Executive Search Company requires the services of a Personal Assistant / Office Manager with debtors and creditors experience on Pastel. Working hours are Monday to Friday 08:00 – 18:00.
We will only consider those candidates who meet with all the below requirements for pre-interview due to the executive, professional and specialised nature of this position.

Minimum Requirements:
Matric and relevant tertiary qualification would be advantageous
Minimum of 4 years working experience as a Personal Assistant, preferably within the Recruitment Industry
Strong financial acumen and basic bookkeeping knowledge and experience (creditors and debtors specifically)
Medical aid submission and insurance claims experience
Fully computer literate (Word, Excel, PowerPoint and Pastel Express V11)
Minimum typing speed of 40 wpm
Exceptional communication skills on all levels and able to take criticism
Able to work under pressure
Well organised and pedantic when it comes to attention to detail
Good time management and able to delegate when required
Can take direction and work as a team player when required
Have a valid driver’s licence and own vehicle

Key Performance Areas:
Screen telephone calls, enquiries/requests and handle when/where appropriate
Manage incoming email, faxes and telephone calls, and often manage or reply on behalf of Managing Director
Ensure that Managing Director is well prepared for meetings and take detailed minutes during these meetings and prepare visual aids when required
Assist with statutory returns i.e. SARS e-filing and payment of accounts
Manage debtors and creditors and liaise with external Accountants
Liaise with clients, service providers and internal staff
Manage accurate diary/timeous notification of professional and personal engagements
Ensure that all filing is systemised and accurate
Capture and distribute reports and company correspondence to relevant persons
Ensure prompt execution of travel arrangements, requisitions, visa applications, FOREX applications etc.
Manage office stationery and consumables and order these when necessary
Ensure office is well organised and manage all building administration
Assist with special projects, KPI graphs and reporting
Assist with telesales when required or where the opportunity presents itself
Supervise junior staff and provide ad-hoc assistance to IT Administrators and Internal staff
Marketing and advertising project management
Medical aid submission and insurance claims
